Privacy policy

What we keep, why, and how you stay in control.

In short: driving schools use ELDT Systems to keep their students' training records. We keep that information safe, use it only to run the service, and never sell it or show ads.

Who we are

ELDT Systems and the ELDT Systems app are made by ELDT.Courses in Erie, Pennsylvania ("we", "us"). Contact: terry@eldt.courses, 1-814-304-7635. This policy covers eldt.systems, eldt.app and the ELDT Systems app for Android and iPhone.

Schools control their records

Each school (or fleet, agency or other training program) that signs up decides what it records about its students and trainers. The school is responsible for having the right to collect that information, including any permission needed from a parent or guardian for students under 18. We store and process it for the school. If you are a student, please contact your school first about your records.

What we keep

  • School account details: school name, web name, the contact name and email of the person who signed up, and school settings.
  • Trainer details: name, username, email, phone, and (if the school enters them) license and credential details used to show the trainer meets training rules.
  • Student records the school enters: such as name, contact details, date of birth, driver's license or permit details, program, lesson scores, minutes and hours, notes, signatures, skills test appointments, certificates, photos and documents.
  • Sign-in information: usernames and PINs. PINs are stored only as secure hashes. We cannot read them.
  • Activity records: when someone signs in or uses the service (name, role, school and time), so we can keep it secure and running well.
  • Moodle information: if a school connects its Moodle site, we read its students' details and theory course scores from it. We never change anything in Moodle.
  • Messages you send us through the support form or by email.

What the app does on your phone

  • It keeps a copy of your school's records and any changes waiting to be sent, so it can work with no signal. Signing out removes that copy.
  • It remembers which schools you opened on that phone.
  • It asks for no special permissions. The camera opens only when you choose to take a photo for an upload. We do not collect your location, contacts or anything else on your phone.
  • The Android app runs ELDT Systems in Google Chrome. Chrome's own privacy policy applies to Chrome.

Cookies and analytics

We use one cookie to keep you signed in. The public pages of eldt.systems use Google Analytics to count visits. Its cookies stay off until you press Allow on the cookie notice; if you choose No thanks, Google Analytics may still receive a basic page-view signal that uses no cookies. You can change your choice with the "Cookie settings" link at the bottom of those pages. School pages, the app and eldt.app do not use Google Analytics.

The "Ask me" AI assistant

The public pages of eldt.systems have an AI assistant called "Ask me". Its answers are written by Google's Gemini AI service and can be wrong, so check anything important with us. What you type, and the page you were on, is sent to Google to produce the answer. We save the conversation, and any email address or phone number you choose to give in it, so we can follow up and improve our answers. Please don't type student records or other personal information into it.

How we use information

Only to run ELDT Systems for the school: storing and showing records, sending the emails the school or you ask for (invitations, PIN resets, reminders, reports), answering support requests, keeping the service secure and fixing problems. We never sell personal information and never use it for advertising.

Who can see it

  • People at the school, as the school's settings allow. Students see only their own records.
  • ELDT.Courses staff, only to run the service or when the school asks for help.
  • Service providers that host and deliver the service for us (our web hosting company, which runs our servers in the United States, and email delivery).
  • Anyone the law requires us to share with, such as in response to a valid legal order.

How long we keep it

Records stay for as long as the school's account is open, or until the school deletes them. Training rules may require schools to keep some records. For example, federal rules require entry-level driver training providers to keep training records for at least three years (49 CFR 380.725). When a school's account is closed and deleted, its database is removed. Backups are removed on their regular schedule.

Security

All connections use encryption (HTTPS). Each school's records are kept in its own separate database. PINs are hashed, and sign-in pauses after repeated wrong tries.

Your choices

You can ask your school to correct or remove your information. You can also ask us to help, or ask for a copy or deletion. See Delete my account. We will work with your school, because it controls its training records and may have to keep some of them by law.

Children

ELDT Systems is used by schools, including teen driver's education programs. We do not knowingly collect information directly from children under 13. Student accounts are set up by the school.

Changes

If we change this policy, we will update the date above and post the change in What's new.
